PROJECTS / APPLICATIONS :
MIS Application:
The
MIS concept is the idea to develop a large single integrated system to support
all levels of managers. MIS
applications are developed in such a way that the data captured and stored
during transaction processing can be used to produce valuable information for
the end users. Generally these are used to provide four types of information,
such as Detailed, Summary, Historical and Exception.
Detailed:
It presents the information with little or no filtering or
restriction.
Summary: It is the information for managers who do not
want to go through the details.
Historical:
Information on all transactions processed and serve as an outfit trail
that confirms the transaction processing and ensures that
the
data can be recaptured in case it gets lost some where in the system.
Exception: Information satisfying some conditions or
standard.
DISTRICT
UNIT GAJAPATI HAS DEVELOPED SOME MIS APPLICATIONS, WHICH ARE DESCRIBED
BELOW.
APPLICATIONS,
WHICH RUN IN FOXPLUS UNDER UNIX
ENVIRONMENT:
1.1 MONITORING OF RAINFALL DATA :

DEPT: Emergency Section of
Collectorate.
PURPOSE:
To get the rainfall statistics block wise and of the district monthly &
yearly.
INPUT:
Daily rainfall recordings of different blocks.
OUTPUT: i) Monthly rainfall report block wise & wise, ii) Yearly rainfall report month wise & block wise, iii) Comparative rainfall report block wise for 10 years & iv) Month wise comparative report for 5 years.
1.2 MP LOCAL AREA DEVELOPEMENT (MPLAD) :

DEPT: District Planning Unit,
Gajapati.
PURPOSE:
Monitoring of Allocation, release, and sanction of funds under different schemes
as proposed by Local MPs.
1.3 CENSUS – 1991
:
USER
DEPT: All District level departments and other agencies.
PURPOSE: Population Figures of 1991 Census.
1.4 PAYROLL SYSTEM :
USER
DEPT: 1) Collectorate, Gajapati, Paralakhemundi, 2) The Courts of ADJ, CJM, SDJM,
Civil Judge (SD) and Civil Judge
(JD).
PURPOSE: Monthly Paybill Processing.
Every
month a bill is prepared and endorsed to the treasury officer by the
establishment officer of the concerned office for monthly salary of the
employees. Different bills
are prepared for different grades and sections such as for Gazzetted,
Non-Gazzetted staff etc. Each bill
is enclosed with some type of schedule i.e. GPF/Festival
Advance/Insurance/LIC & PLI
& Loan schedules etc. Treasury
after duly checking sends the bill to the concerned bank for payment. There is a bill form prescribed by the
finance dept for the purpose. First
page of the form indicates the abstract figures of different earnings and
deduction heads. The enclosure of
the form contains the employee name, earning columns, deduction column earning
and net pay of an employee. The
system has been designed to generate the said enclosure along with the
acquittance register, treasury bill, different schedules and individual pay
slips.
OBJECTIVES: a) Faster Compilation, b) Integrity in the reports generated, c) Ease of maintenance of proper Records, d) Any special type of adhoc reports i.e. arrear/DA calculation, budget preparation, projection and planning. e. Generation of pay slips for individual employees.
1.5 GRIEVANCE MONITORING SYSTEM :

DEPT: G & M Section, Collectorate.
PURPOSE: It is very difficult to keep track
of all grievances coming to the Collector manually. There are so many cases pending at the
officers who are assigned for compliance.
Keeping all this in view this S/W is designed specifically for Gajapati
district which maintains a central database of 3 types of grievances coming on
Wednesday Cell, Saturday Cell and Everyday Cell.
INPUT: a) Name and address of the person,
b) Category, Priority of the Grievance, c) Subject under which it comes, d)
Officer to whom it is passed for compliance, e) Whether final action has been
taken or not.
OUTPUT: a) Section/category/Priority & subject matter wise lists of all
cases, b) List of all pending cases, c) Summary report of all the pending
grievances, d) Reminder letter to officers to clear up the pending grievances,
e) At a glance report of all the cases against different
officers within different time periods.
1.6 ARMS LICENCE MONITORING SYSTEM :

DEPT: Judicial section of Collectorate.
PURPOSE:
The system helps building a database on arm holder type of arm (i.e. rifle, revolver, pistol etc.) and make, area of validation and purpose
of issue, date of renewal etc. It is very difficult to find out
manually whether the license of particular arm is renewed in time or not. So also it is difficult to find out the
legality of issue of arm.
This package takes care of all those cases and prepares
reports.
INPUT: a) Name, sex, address, occupation
of the license holder, b) Issued under which Police Station, Date of issue,
Issuing authority, Valid upto which month, c) Details about arm, type of arm and
make, purpose of issue of arm etc.
OUTPUT: a) Thana wise reports for valid arms, b) Thana wise reports for invalid arms, c) Thana wise reports to be renewed during the present month, d) Reports for suspended cases, e) Reports for cancelled cases, f) Register for all records.
1.7 MONITORING OF P.L ACCOUNT :

DEPT: Development Section,
Collectorate.
PURPOSE: Every month all the Blocks
are sending their P.L A/C (Personal Ledger Account) expenditure reports and
balance of the Block at the beginning
& end of the month, to the Development Section. The s/w filters the Schemewise figures
from among total figures and prepares reports block wise, schemewise and also
balance of the block and district at the beginning and end of the
month.
INPUT: a) Scheme wise details data of
O.B, expenditure.
OUTPUT: a) Scheme wise (After filtration)
reports having O.B, Exp, C.B, b) District figures (having individual block
figures) of a particular scheme, c) District O.B, Exp., C.B of all the Schemes
with Block figures.
1.8 MONITORING OF TWENTY POINT PROGRAMME (TPP) :

DEPT: Development Section,
Collectorate.
PURPOSE: Target fixed &
achievement of Twenty Point Programme related Schemes are coming every month to
the Development Section of Collectorate from different Govt. Departments. It is difficult to know whether the
target is achieved and the percentage of achievement during a particular
month. This s/w takes care of
all the above points and generates MPRs.
INPUT: a) Achievement of a particular
Scheme under TPP.
OUTPUT: a) Target fixed, achievement & %age of a particular Scheme under TPP, b) Scheme wise abstract of the District.
1.9 MONITORING OF SMALL SAVINGS
:

DEPT: District Small Savings
Officer, Gajapati.
PURPOSE: The s/w helps proper handling of monthly
collection of different Head Post Offices of the District and generates
reports.
INPUT: Monthly collection of different
Head Post offices.
OUTPUT: It generates MPR for a particular month along with corresponding data of previous year.
1.10 MID-DAY MEAL MONITORING
SYSTEM :
The
main objective of the Mid Day Meal Scheme is to make popular education system
among the children and to increase the interest among the parents to educate
their children. Previously there
were more dropouts as parents are usually poor and they use to send their
children for earning money instead of sending them to the school. The main aim
of this scheme is to– a) Increase enrollment, b) Reduce the Dropouts. For this
scheme 03 departments are responsible to perform their duties, namely - 1.
Education Department, 2. Civil Supplies Department, 3. Social Welfare
Department.
Education
Dept : This is the scheme for the education
department who should not only feed the children but also to monitor whether the
feeding programme is properly functioning or not. So school teachers are responsible for
day-to-day feeding programme and SI should monitor this scheme and look after
the problem i.e. whether there are adequate stocks of materials available or
not.
Civil
Supply Dept :
This dept. holds the responsibility
to supply the materials to the block headquarter and school-to-school
supply. They also keep
sufficient of stock at the block godown so that school can lift the material in
case of immediate requirement. They
are responsible for maintaining the quality of the material, which is to be
supplied.
Social
Welfare Dept : This dept. comes into picture to receivethe fund
from Govt. and other MIS
activities. They get the
information from BDOs who in turn collect information from S.I of
Schools.
INPUT: a) Block wise information on schools,
no. of students, no. of working days, O.B, expected materials, b) Materials
actually consumed, C.B.
OUTPUT: a) Block wise abstract on schools, total
no. of students& working days, O.B, consumption, C.B, stock position, b)
District abstract of above items and district stock
position.
1.11 MIS ON INTEGRATED CHILD DEVELOPEMENT SERVICE (ICDS) :
USER
DEPT: DSWO,
Gajapati.
PURPOSE: To monitor different activities
(Physical & financial) of ICDS Projects in a District.
INPUT:
Data relating to Centre Details, Education Details,
Expenditure Details, Staff Details, Immunisation & Nutrition Details,
Supplies Details of all the ICDS Centers in the District.
OUTPUT: It generates reports basing on above information monthly, Quarterly and Yearly.
1.12 MIS ON PENSION SCHEMES (MPS) :
USER
DEPT: D.S.W.O, Gajapati.
PURPOSE:
To monitor the allotment, expenditure and application details under different
pension scheme (OAP / NOAP/ ODP).
The data is also sent monthly to Bhubaneswar for state level
monitoring.
INPUT:
Data of pending position of applications Block and Sub-division wise, Monthly
progress of expenditure and allotment Block wise, beneficiary details.
OUTPUT:
Monthly progress report of beneficiaries, allotments, expenditure Block wise
& Sub-division wise.
1.13 MIS ON ANIMAL HUSBANDRY
:

DEPT: C.D.V.O., Gajapati.
PURPOSE:
This package handles various developmental and Welfare programmes handled by
Animal Husbandry Department of the District.
INPUT:
Departmental Activities
(work done statement),
Developmental activities (Anti Biotic Programme and Animal Health Coverage. surveillance, Disease Outbreak,
FMD control Vaccine
stock position etc.) at the level Chief Dist. Veterinary Officer.
OUTPUT: The users get their reports month wise for their use as well as to send to the Directorate of Animal Husbandry, Orissa, Bhubaneswar. Centre wise reports are also being prepared.
1.14 PMRY:
USER
DEPT: Dist. Industries Centre, Gajapati.
PURPOSE:
To prepare the applicant list, interview report, merit list of applicants for
availing PMRY loans.
INPUT:
Name, address, caste, date of birth, purpose of loan, amount required
etc.
OUTPUT: Bank wise, Block wise and caste wise interview reports and merit list.
1.15 RECOVERY ON PMRY
:
USER
DEPT: Collectorate, Gajapati.
PURPOSE:
To prepare bank wise status reports on recovery of PMRY and also to find out
loan outstanding, recovery & balance in each quarter
ending.
INPUT:
Name, address, date of sanction of PMRY loan, amount sanctioned, amount
disbursed, amount outstanding, amount repaid, balance, date of quarter
ending etc. of each individual
beneficiary.
OUTPUT: Bank wise status report on recovery with reference to beneficiaries (with their detail status), bank wise money disbursed, amount recovered, outstanding and balance, consolidated report of all banks under the jurisdiction of District Industries Centre.
1.16 LAND RECORDS INFORMATION
SYSTEM :

DEPT: Rev. & Touzi Section,
Collectorate, Gajapati.
PURPOSE:
To prepare different MPRs (26 Nos.) of Revenue & Touzi Section, Collectorate
to be sent to Govt., Board of Revenue and to the R.D.C
(S.D).
INPUT:
DCB, Case, Tax, Collection etc.
Figures of Tahasil Offices and Sub-Colletor's Office of Gajapati
Dist.
OUTPUT: 26 Nos. of MPRs after checking the validity of the reports sent by Tahasil and Sub-Collector Offices.
1.17 REGISTRATION OF SOCIETIES MONITORING SYSTEM :

DEPT: G & M Section,
Collectorate, Gajapati.
PURPOSE:
To prepare the registration Register, Block wise registration details, status of
a particular registration no., generation of routine letters to be sent to the
registered societies (Block wise) for compliance.
INPUT: Society details, date of registration,
registration authority village, G.P and Block name etc.
OUTPUT: 1) Register, 2) Block wise reports etc.
APPLICATIONS WHICH RUN IN MS-ACCESS IN WINDOWS ENVIRONMENT
1.18 POVERTY ALLEVIATION MONITORING SYSTEM :
USER
DEPT: DRDA Office, Gajapati.
PURPOSE:
To prepare different MPRs on Poverty alleviation programmes sponsored by
Government from time to time.
INPUT: Scheme wise & item wise detail
figures of Blocks with O.B and C.B.
OUTPUT:
10 Nos. of MPRs (Presently) after
checking the validity of the reports sent by different Blocks.
1.19 LETTER MONITORING
:
USER
DEPT: Res. Office of Collector,
Gajapati.
PURPOSE: To prepare Personal Hand Book (PHB)
Register, Officer Wise Pending List, category Wise Pending list, Reminder
Letters, status of a Particular letter etc.
INPUT:
The PHB No. with date, from where
the letter has come (Name &
Address), subject matter of the letter, to whom it is sent for compliance,
remarks of the Collector, action taken by the Officer with date.
OUTPUT:
PHB Register, letter & Officer wise Pending list, category wise detail &
pending list, daily status report etc.
1.20 S/W ON EMPLOYEE BIO-DATA :
USER
DEPT: Establishment Section, Collectorate.
PURPOSE:
To prepare month wise reports on employees going to be retired, reports on an
employees on a particular field of work etc.
INPUT:
Employee Name, DOB, Qualification, date of entry into Govt. Service, transfer
details so far, field of work, details about spouse etc.
OUTPUT: 1) Month wise reports on employees going to be retired, 2) Employees whose spouses are working, 3) Details about a particular employee, 4) Employees in a particular office, 5) Employees on a particular qualification, 6) Different query based reports such employees working more than or less than a particular year, employees going to retire with in a particular month or year.
1.21 VILLAGE LEVEL INFORMATION SYSTEM :

DEPT: Collector, ADM, P.D (DRDA).
PURPOSE: It is useful for decision-making. When a particular village under a GP, Block is selected it displays a no. of items for the user to select. Then the data (Item wise as selected) on that item is produced for screen viewing and printing.
1.22 ACTION PLAN MONITORING OF DRDA :

DEPT: Collector and PD (DRDA)

PURPOSE: To prepare village wise, GP wise, Block
wise, Scheme wise, Executing Agency wise action plan of DRDA since the inception
of the district. It also prepares on completed and un-completed schemes,
defaulter U/Cs etc.
INPUT: Village code, scheme name, work name,
year of sanction, amount sanctioned and released, date of completion of work,
U/C submitted or not etc.
OUTPUT: 1) Village wise, GP wise, Block wise,
Scheme wise, Executing wise reports on action plan, 2) Reports on completed and
un-completed schemes, 3) Executing agencies submitted U/C
etc.
